What a DMC does in France
A destination management company is the local operator behind a programme. It selects and negotiates hotels, secures venues and private sites, books restaurants, arranges ground transport, hires guides and hosts, and provides a team on site throughout the event.
For a foreign agency or company, this removes the need to deal with dozens of French suppliers in a language and a business culture that may be unfamiliar. One contact is responsible for the programme, the budget and the quality of delivery.
A DMC also brings knowledge that cannot be found in a brochure: which hotels suit a plenary session of 300, which châteaux accept groups in winter, how long a transfer really takes at 6 pm on a Friday, and which dates to avoid because of strikes or local events. This is the practical expertise we put at the service of each brief.
From brief to final transfer
We begin with a conversation about your objectives, participant profile, dates and budget range. From this we propose a destination and a programme outline, with options where the choice matters.
Once the outline is approved, we negotiate with suppliers, confirm availability and send a detailed proposal with costs, conditions and timings. Revisions are part of the process, and we keep a clear record of each version.
After confirmation, the project manager coordinates reservations, rooming lists, transport plans, dietary requirements and any permits or access arrangements. In the weeks before arrival, we run a full operational check and prepare the on-site team.
During the event, a coordinator is present to anticipate problems rather than react to them. After it, we send a short debrief and handle final invoicing transparently.
Sixteen regions, one point of contact
France is not one destination but many, and the right choice depends on the objective. Paris and the Île-de-France region combine international access, large hotels and prestigious private venues. The French Riviera offers sunshine, congress facilities and yachting. Bordeaux and Champagne are natural settings for wine-related incentives. Lyon is known for gastronomy and business hotels, and the Alps suit winter programmes.
We cover sixteen regions, including Provence, Normandy, the Loire Valley, Alsace, Brittany, the Basque Coast, Toulouse and Occitanie, Lille and the north, and Lake Annecy.
Combining two regions in one programme is often feasible by high-speed train or private coach. We assess transfer times honestly and advise against itineraries that look attractive on a map but tire the group in practice.
Local constraints, handled in advance
Organising in France involves constraints that are manageable when anticipated and costly when ignored. Rail and air strikes can disrupt travel and call for backup plans. Public holidays and the August slowdown affect supplier availability. Many monuments and private estates require early requests and strict access conditions.
Other points are technical: VAT rules on services, music licensing fees for events with live or recorded music, and regulations covering the capacity and safety of venues.
We explain each of these when they apply to your programme and include the corresponding provisions in the quotation. Our aim is that the final cost matches the quoted cost, and that the group experiences a smooth programme even when something changes behind the scenes. Nothing is left to improvisation on the day.
Working with agencies and corporate buyers
Our clients fall into two groups. Event agencies and travel management companies need a reliable local partner who respects their client relationship and delivers to a defined standard. Corporate buyers, such as travel managers, HR directors and sales directors, need a single organiser for a programme they often cannot supervise from abroad.
In both cases we provide transparent quotations, clear terms and a named project manager. We can work on a net-rate basis for agencies or on a management-fee basis for companies, depending on what suits the project.
The French DMC is a brand of GROUPE AVS Ltd, present in France since 1996. That continuity gives clients a stable counterpart and gives suppliers confidence in the commitments we make on behalf of the group.
